2011 CLUBHOUSE RULES

 

Reservations are made by calling RS Fincher & Co.  (919-362-1460). The request date will not be considered permanent until your reservation form, deposit and rental fee have been received. The signed reservation form and check(s) must be received at least one week prior to the date of the event or the reservation may not be honored. The deposit check will be returned after the clubhouse is inspected providing there is no damage to the clubhouse property. The Host Liquor Liability Agreement must be signed, notarized and returned with your reservation form.    

The clubhouse is the property of the Homeowners Association. Only members in good standing (assessment current) can reserve the clubhouse and the West Lake property owner must be present during the function for which the clubhouse is reserved.  Children are not allowed in the facility, at any time, without adult supervision. An adult is anyone over the age of 21.

The clubhouse is not available for rental during federal holiday weekends in the open pool season.  These holidays consist of Memorial Day Weekend, July 4th Weekend and Labor Day Weekend.  The social committee may utilize the clubhouse on these dates for HOA community sponsored events in order to promote and foster neighborhood relationships. 

On the day of your rental, you and the designated Clubhouse Committee member or Board member will walk through the clubhouse to assess any possible discrepancies.  If you would like to waive this walk through, you must initial the Clubhouse Reservation form.  The clubhouse key must be returned to the designated committee member or Board member the following morning by 10:00 am.  If there is another rental scheduled on the day you are due to return the key, the key must be returned no later than 8:00 am. 

The member making the reservation is responsible for cleaning the clubhouse before leaving or by 10:00 am (or 8:00 am, see above) the day following the event.  Please see the Clubhouse Clean-Up Check List (see below). 

Alcohol may not be served to persons under the 21 years of age.

Pets are not permitted in the clubhouse.

The clubhouse is SMOKE FREE.

NO POOL PRIVILEGES come with the reservation of the clubhouse.  Should your event take place during seasonal pool operating hours, all West Lake Pool Rules and Regulations apply.  West Lake members have access to the pool during the open season.  No pool furniture is to be brought into the clubhouse. No one wearing a wet bathing suit is allowed in clubhouse.   If this rule is not adhered to, the renter will forfeit their deposit.

During the clubhouse rental, the doors that exit from the clubhouse directly to the pool must remain locked at all times. Under no circumstances are people to go into the pool via this door OR BATHROOM DOORS, or should no one in the pool area enter the clubhouse through this door OR BATHROOM DOORS.  The door to the clubhouse that opens onto the pool deck does not meet the code requirements for the doors that allow entry to pools.  It is important that to understand that if this rule is broken and you are caught by a pool inspector – it will jeopardize the pool permit for the entire pool season.  This will impact all homeowners of West Lake.  If the door is not locked during the event at the clubhouse, the renter will forfeit their deposit.

 

 

Miscellaneous decorations may not be brought in without prior approval.  They, and their support system, must be removed before the final inspection of the clubhouse.

Parking must be in the parking lot, or designated parking only. No parking in the circle in front of  pool or on grass areas.  Parking is for residents and guests and is used on a first come first serve basis.  

The Cary Fire Department only allows grilling in the parking lot and must be done away from the clubhouse.

All functions must end by midnight.  The Town of Cary requires all music to end by 11:00 PM on Weekends and 10:00 PM on Weekdays.   Mingling in the parking lot, outside the clubhouse or in the street after the function is not allowed.  Noise ordinances of Wake County and Town of Cary apply to this association and they will be enforced.

2011 CLUBHOUSE CLEAN UP CHECKLIST


All trash and debris must be immediately removed from the clubhouse and placed into the trash can outside to avoid any ant and/or rodent problems in the clubhouse.  This includes trash in the bathrooms. 

Sweep and Vacuum/wet mop when there have been spills. Use water only.

Clean kitchen sink, counters and refrigerator.  DO NOT leave anything in the refrigerator.

Make sure restrooms are clean and locked.

Return all chairs and tables to their original location.

Turn off all interior and exterior lights. During the winter, the heat must be on and the temperature lowered to 55 degrees after use.  During the summer, the air conditioner must be set to 80 degrees after use.

All curtains are to be pulled to a closed position.

Remove any marks (from decorations, smudges, spills, etc.) on walls, tables and chairs.

Decorations, signs, balloons, etc., both inside and outside the clubhouse, must be removed. Carefully remove tape from painted trim to ensure no paint is removed.

Close and lock all windows and doors. Return the key to committee person or Board member the day following

your rental.

 

**Please note: Any violations not mentioned above may result in a charge to your HOA account or forfeiture of all or a portion of your deposit. The reserving homeowner is responsible for all cleaning, as well as any damage, or vandalism that occurs as a result of the building being left unlocked/unsecured. Damage to any furniture, windows, walls, (including small holes made by tacks or decorations) or other structures will be assessed and replaced/repaired at the homeowner’s costs.
